Your Personal Data


Who we are

We are South Ribble Borough Council and your privacy is important to us. We aim for full transparency on how we gather, use, and share your personal information in accordance with the General Data Protection Regulation.

We keep our privacy notice under regular review and we will place an updated version on this page. This will help ensure that you are always aware of what information we collect and how we use it.

What we need

We will collect basic personal data about you which includes:

  • Name
  • contact details e.g. phone number or email address
  • address
  • date of birth
  • age
  • NHS number

We may also collect sensitive data, such as race/ethnicity, health and religious belief.

Similarly, we will collect information that we receive from third parties e.g. charities and other public sector organisations.

Why we need it

The Council uses personal information to enable us to deal with customer-related enquiries in as comprehensive a manner as possible. Specific enquiries could relate to health and wellbeing support, employment support, volunteering opportunities, community events, community group support, community development activities, signposting and referring with your permission to other services, processing financial support applications and customer advice of a more general nature.

Sensitive data will be used for monitoring purposes only in order to ensure that we are compliant with equality and diversity legislation.

What we do with it

Your personal information will be treated as confidential, but it may be shared with other Council services and third parties, such as your GP and local charities.  This will ensure that the service we deliver is of a high standard.

We will only use your information in ways which are permitted by the General Data Protection Regulation and the current UK Data Protection law. We have a Data Protection regime in place to oversee the effective and secure processing of your personal data. View more information on data protection.

This authority has a duty to protect the public funds it administers and may use information held about you for all lawful purposes, including but not limited to the prevention and detection of crime including fraud and money laundering.

The Council may also use your information for the purpose of performing any of its statutory enforcement duties. It will make any disclosures required by law and may also share your information with other bodies responsible for detecting/preventing crime in relation to safeguarding and including fraud or auditing/administering public funds.

Where necessary and applicable, your information may be shared with other business support agencies and related providers or funding providers (such as the NHS, Department for Levelling Up, Housing and Communities in the case of government funded projects). However, information will not be shared for any unrelated purposes unless required by law to do so.

What are your rights?

You have the right to:

  • request a copy of your information (known as a subject access request)
  • request rectification or erasure of your information,
  • request a restriction on the processing of your information, and,
  • object to processing of your information,
  • complain to the Information Commissioner's Office about the way the Council processes your information.

Transferring information overseas

In certain circumstances we may transfer your information to organisations in other countries on the basis that anyone to whom we pass it protects it in the same way we would and in accordance with applicable laws.

How long we keep your information

We will keep your information for as long as it is required by us or other regulatory bodies in order to comply with legal and regulatory requirements or for other operational reasons. Keeping your personal information secure

We have appropriate security measures in place to prevent personal information from being accidentally lost or used or accessed in an unauthorised way. We limit access to your personal information to those who have a genuine business need to know it. Those processing your information will do so only in an authorised manner and are subject to a duty of confidentiality.

We also have procedures in place to deal with any suspected data security breach. We will notify you and any applicable regulator of a suspected data security breach where we are legally required to do so.
